Override calculated figures in the current pay run

Apply a manual override figure during the current pay run for an employee / team member.

Sometimes you may want to override certain calculated figures, such as tax, National Insurance, or pension contributions. This could be while running a few periods in test mode before switching to live, often called ‘parallel running’, or because of the different rounding methods used in different systems. Whatever the reason, you can override the calculated figures for the current pay period in Paycircle.

Previewing a team member’s calculated figures

To view the current calculated figures for a team member, follow the steps below.

  1. Click the Current period, and select the Team tab.

  2. Locate the relevant team member, and click the action cog ⚙️.

  3. Select Preview pay statement to display the calculated figures for tax, employee NI, employer NI, student loan, postgraduate loan, and employee and employer pension contributions.

Overriding a team member’s calculated figures

From the preview pay statement, you will also be able to override all these figures, with the exception of the employer’s NI saving on a salary sacrifice pension. To edit figures, follow the steps below.

  1. Click the pencil icon and enter the desired figure,

  2. Click the tick icon to save.

Note: Once the numbers have been edited, you can hover over them to reveal the original number that was overwritten. If you need to, you can revert back to the calculated value at any time by clicking the edit icon, removing the figure, and then saving again.

Additional information regarding overrides

If you are using overrides for team members with net to gross payments, you may not see the net figure you are expecting, due to the way the gross up is calculated by the system.
