PeopleHR – Paycircle Integration Improvements include the following enhancements:

I. PeopleHR – Paycircle Integration Bulk Failed Events Management

This feature enables admins to efficiently resubmit multiple failed events in one action, simplifying the error resolution process. When PeopleHR (PHR) events fail due to issues such as invalid data (e.g., incorrect NI number, future date of birth, invalid titles, or postcode errors), admins can now select and retry multiple events at once.
This eliminates the need for repetitive manual corrections, saving time and improving overall workflow efficiency.

Additionally, after retrying events, admins can use the new 'Refresh' button on the PeopleHR updates page to instantly view the latest event statuses. Successful retries will appear in green, failed events in red, and those still pending will remain in their original status. This ensures that admins can quickly track and manage event updates.

II. PeopleHR – Paycircle Integration Failed Events Search

This enhancement updates the PeopleHR failed events body to include the Team Member’s name, enabling admins to search for and identify events based on either the Team Member’s name or ID.

  • Improved Accuracy: Enables precise identification of issues affecting a particular team member, leading to faster resolutions.

  • Streamlined Error Management: By allowing searches by Team Member Name or Employee ID, this feature enhances the overall management and tracking of failed events.

III. Read only info for Team Members when Payroll is calculated, or TM is on hold

This enhancement addresses the issue of inaccessible employee data when payroll is calculated or when a team member is on hold. By ensuring administrators can view salary changes and work patterns at any time, this solution improves workflow efficiency, data accessibility, and reduces administrative disruptions.

Overview of the enhancement:

Existing Team Members

  • Salary and Work Pattern Access: The Pay Information section of an existing team member’s profile now features a new "Salary Change" indicator, along with an "Effective Date" and a "View" link that displays salary changes. Additionally, a hyperlink has been added in the Employment Type area, providing access to work patterns when payroll is calculated or when the team member is on hold.

  • View Functionality: Clicking the View link opens a read-only form displaying salary details, while a hyperlink under the Employment Type area opens a fly-out with the employee’s work pattern.

  • Exclusions: Hourly-paid, net-paid, pay policy, CIS, and off-payroll team members are excluded from the work pattern view.

  • To navigate to this area:

    1. Select Team and then click Existing Team Member Profile.

    2. Click Information and then click the Pay Information section.

New Team Members

  • Salary and Work Pattern Access: In the Employment section of the profile, new team members will see a “Salary Changes” indicator and a View link, offering immediate access to salary details and work pattern information, even when payroll is calculated, or the team member is on hold.

  • View Functionality: Clicking the View link opens a read-only form for salary details, and a hyperlink opens the work pattern fly-out.

  • Exclusions: Same as for existing team members, certain profiles will not have access to the work pattern view.

  • To Navigate to this area:

    1. Select Team and then click New Team Member Profile.

    2. Click Setup and then click Employment Section.

IV. Documents Bulk Download for a single Employee

This enhancement streamlines the process of retrieving employee documents by adding a ‘Download’ button to the Documents tab in an employee's profile. Admin users can now efficiently bulk-download multiple documents for a single employee across a specified date range, with intuitive options and optional security features for added protection.

Overview of the enhancement:

  • A new Documents Download Form allows for efficient selection of:

    • Document Types: Includes options like P60, CIS, Pay Statements, and P45, dynamically adjusted to show only available documents for the employee.

    • Pay Period Range: Users can select up to 12 months within a defined date range, ensuring flexibility while keeping navigation streamlined.

  • Password Protection: Admins can toggle a password option to secure the ZIP file containing the downloaded documents.

  • Real-Time Notifications: Clear messages guide users through the download process, including preparation and completion updates.

  • Guided User Warnings: A warning message highlights that manually uploaded documents must be downloaded individually, as they cannot be tagged to pay periods.

  • Exclusions: Documents for leavers, PAYE scheme transfers, and manually uploaded files are excluded from the bulk download option.

  • To navigate to this area:

    1. Select Company and then click Team.

    2. Click Team Member Profile and select the Documents Tab.

    3. Click Download.
