Occupational Sickness Working vs Calendar days calculation method

A new feature has been introduced in Paycircle that allows payroll administrators to choose how sick pay entitlements are calculated. Previously, the system only supported calculations based on calendar days, which limited flexibility for clients who use a working days-based method. With this enhancement, users can now select between:

  • Calendar Days (existing method): Sick pay entitlement is calculated using calendar days

  • Working Days (new method): Sick pay is calculated based on the working days defined in the employee’s work pattern.

Key Enhancements

  • New Selection Option - a new ‘Calculated based on:’ section has been added to the ‘Add Sickness Policy’ page.

  • Payroll administrators can select either ‘Calendar Days’ or ‘Working Days’ as the preferred calculation method by ticking the radio buttons.

Calculation method

  • Working Days - uses the daily rate from the team member's profile and calculates sick pay entitlements based on the employee’s defined working days.

  • Calendar Days -divides the weekly salary by 7 to determine the daily rate and calculates sick pay entitlements based on calendar days.

Warning Notification for Work Pattern changes affecting Sick Pay Schedule

A new warning message has been introduced in Paycircle to prevent errors in sick pay calculations when an employee’s work pattern is changed mid-period while they have an active sick pay schedule. The system does not automatically adjust sick pay calculations to reflect the new WP, requiring payroll users to manually update the schedule. If not updated, this could result in inaccurate payments. This enhancement ensures the accuracy of the sick pay schedule, reducing errors and ensuring correct payments.

Key Enhancements

  • Real-Time Warning - When a payroll user clicks “Add Work Pattern Change” or edits an existing work pattern for an employee with active sick pay, a pink, non-dismissible warning message appears.

  • The message alerts users that changing the work pattern may impact sick pay calculations and prompts them to review and update the sick pay schedule.

  • The warning disappears once payroll is processed or if there is no active sick pay schedule, ensuring users are only notified when relevant.

  • Prevents miscalculations in sick pay due to mid-period work pattern changes.

  • Ensures payroll accuracy by prompting users to review and adjust sick pay schedules.

Improved Sick Pay Calculations for Work Pattern Overrides feature

A new enhancement has been introduced to ensure that sick pay calculations correctly reflect the selected calculation method when a work pattern is overridden for Occupational Sick Pay.

Key Enhancements

  • When overriding a WP, the system will now apply the selected sick pay calculation method—either Working Days or Calendar Days, as defined in the sickness policy.

This update improves flexibility and accuracy in Occupational Sick Pay processing, ensuring that overridden work patterns are correctly factored into calculations.
