Paycircle attributes the cost of a cover shift to the site where the shift took place, rather than to the employee's home site. Learn how cost attribution works, what appears on payslips and reports, and what to configure before your first payroll run.
What is a cover shift?
A cover shift is any shift where an employee works at a different entity, such as a site or location, from the one they are contracted to. For example, an employee based at your London site who works a shift at your Manchester site is performing a cover shift.
đNote: Only signed-off shifts transfer from Rotaready to Paycircle. Unsigned shifts are never processed, whether they are home or cover shifts.
When Rotaready sends signed-off shift data to Paycircle, Paycircle compares the shift location with the employee's home entity. If the two differ, Paycircle treats the shift as a cover shift.
How cost attribution works
Paycircle links each entity in your configuration to a business category. Paycircle uses this category to attribute payroll costs in reports and journal exports.
Paycircle applies the business category based on the shift type:
Shift type | Business category applied |
Home shift | The employee's own business category. No override applies. |
Cover shift | The business category of the site where the shift took place. |
Paycircle applies this override to each pay element. A single payslip can therefore include both home and cover shift pay elements, with each one attributed to the correct location. The override carries through to payroll runs, payslip generation, the Payment Summary report and journal exports to Financials.
What you will see on payslips
When an employee has worked cover shifts, the relevant pay elements on their online payslip show the name of the site where the shift took place. For example, "Shift at: Manchester". This makes it straightforward to identify which earnings relate to which location.
The following example shows the pay elements for an employee who worked home and cover shifts in the same pay period:
Pay element | Hours |
Basic Hours â London | 37.5 hrs |
Basic Hours â Shift at: Manchester (Cover shift) | 8.0 hrs |
Basic Hours â Shift at: Birmingham (Cover shift) | 4.0 hrs |
Reports and journal exports
Paycircle applies the business category override wherever business categories appear in reporting. In the Payment Summary report, Paycircle groups and filters cover shift pay elements using the site's business category rather than the employee's. In journal exports, costs flow to the correct cost centre in Financials automatically.
No additional report configuration is needed once your entity business category mappings are in place.
Set up entity business category mappings
For cover shift attribution to work, every entity that employees may cover at must have a business category assigned in Paycircle. You assign these categories on the entity mapping screen within your integration settings.
â ď¸Important! Before your first payroll run with this feature, check that every entity your employees may cover at has a business category assigned. Shifts at unmapped entities are not processed until you add the mapping.
If a cover shift arrives for an entity without a business category, Paycircle cannot process the shift. Paycircle raises an alert that names the affected employee and entity, and includes a link to the mapping screen. After you save the mapping, you can reprocess the shift.
Check or add entity mappings
Go to your Rotaready integration settings in Paycircle.
Open the entity mapping section.
Confirm each entity has a business category selected.
Save any changes before running payroll.
Multi-site organisations
This feature supports organisations with any number of sites. Paycircle attributes each cover shift to the specific entity where it occurred. If an employee covers at several sites in one pay period, Paycircle attributes each shift to the correct location independently.
Frequently asked questions
Will this change how existing home shifts are processed?
No. Shifts at an employee's home entity are unaffected. Paycircle applies the business category override only when the shift location differs from the employee's home entity.
What happens if an employee works both home and cover shifts in the same pay period?
Paycircle handles each pay element independently. Home shift pay elements use the employee's own business category, and cover shift pay elements use the business category of the site where the shift took place. Both appear on the same payslip.
Does this affect how pay rates are calculated?
No. The business category override affects cost attribution and reporting only. Pay rates come from the employee's pay configuration and do not change.
What if the same employee covers at multiple different sites?
Paycircle attributes each shift to the entity where it occurred. No limit applies to the number of different sites that can appear on a single payslip.
Will I see any difference if all my employees only work at their home site?
No. If the signed-off Rotaready data contains no cover shifts, payroll processing does not change.
