Employers with 250+ employees must report their gender pay gap annually, using payroll data from:

  • 31 March for most public authority employers.

  • 5 April for private and voluntary employers.

Our 'Gender Pay Gap' module simplifies data gathering and reporting for all organisations, regardless of size.

An overview of Paycircle’s GPG report feature:

Accessing the module

  • At Company level: Once activated, enable the new 'Gender Pay Gap' module in company settings under the 'Report & Journals' section.

  • At Group Level: The new 'Gender Pay Gap' module for groups is disabled by default but you can enable it in group settings under the ‘Reports’ section once activated.

Company Level Report Wizard

The report wizard has five steps, ending with calculated gender pay gap figures for Government reporting, and allows users to save and resume their progress. Report steps are as follows:

  • Settings: Set the snapshot date (default is 31 March for public authorities, 5 April for others; customizable) and define the report name.

  • Pay Elements: Override and manage pay elements for team members, including collecting payments made in the 12 months leading up to the snapshot date, with assumptions for ordinary and bonus pay detailed in a help foldout accessible during this step.

  • Excluded Team Members – A step to manually exclude any team members.

  • Pay and Weekly Hours – In this step, users can override Paycircle's calculated values for team members, viewing employee type, ordinary pay, bonus pay, and weekly hours data, with the option to adjust values if needed. Detailed explanations are also provided in the additional info foldout.

  • Gender Pay Gap Figures – this step calculates and displays required figures.

Group Level Report Wizard

The group level report wizard consists of three steps, necessitating prior creation of company-level reports first to combine them at the group level.
