Create new employee records for PeopleHR

How to correctly create new employees when you are PeopleHR - Paycircle integration enabled.

If you have PeopleHR - Paycircle integration enabled, you must ensure that all new employees are created directly in PeopleHR. New employees should not be created in Paycircle manually, as this will result in missing mapping and will prevent you from being able to send updates from PeopleHR to Paycircle for these employees.

Follow the guidance below to ensure you create the employees in line with the best practice approach.

Creating a single employee within the same working day

  1. Create the employee record in PeopleHR.

  2. Check that the employee has come through to Paycircle.

  3. Manually complete their profile inside of Paycircle, ensuring ready for payroll is shown on their record.

If you wish to change their employee ID in PeopleHR, you may now return to PeopleHR to do so.

Creating multiple employees within the same working day

  1. Create every employee record first in PeopleHR.

  2. Once all employees have been added to PeopleHR, check that those employee have come through to Paycircle successfully.

  3. Manually complete all employee profiles inside of Paycircle, ensuring ready for payroll is shown on each of their records.

If you wish to change these new employee ID's in PeopleHR, you may now return to PeopleHR to do so.

Changing Employee ID (PeopleHR) / Payroll ID (Paycircle)

Do not change the Employee ID (PeopleHR) or Payroll ID (Paycircle) until you have:

  • Created all employee records in PeopleHR.

  • Ensured they have created successfully in Paycircle.

  • Completed their profile in Paycircle so they show as ready for payroll.

Changing these ID values before you have confirmed the above may result in your newly created employees failing to be created.
