Within Paycircle you can set up link elements, and then apply them to all or specific team members. You can set up the link element with a global rate, meaning the rate is available to all team members assigned to the element. Alternatively, you can add it without a rate, then set the rate to the team member.

Create a link element

  1. Click Settings, then click Link elements.

  2. Click Add link element then enter a name.

  3. Select the relevant element from the Additions or Deductions lists.
โ€‹Tip: To view the tax treatment, click Show tax treatment.

  4. To set the link element at the global rate, switch on the Add global rate toggle, enter your rate and set the multiplier.

  5. Click Save.

Assign link rates to team members

Once a link element has been set up, you can add it to a team member. You can use the global rate or a custom rate, specific to that individual. Where applicable, you can add a standard set of hours to a linked rate. This automatically applies the hours to that link rate each period.

To assign a link element to team members, follow the steps below:

  1. Click Team, then click Team members.

  2. Click the relevant employee's record then click Link rates.

  3. Click Add link rate then select the relevant link element.

  4. In the Rate type list, select a relevant type.

  5. To turn on the standard units, switch on the Add standard units toggle.

  6. Enter your units then click Save.

Add link rates to the current period

Whether you've set standard hours against a team memberโ€™s link rate or not, you can edit their hours each pay period from the Link rates section. Elements that are a fixed value, automatically apply each pay period for team members who have that link rate.

  1. Click Payroll then click Current period.

  2. Click Team then click the relevant team member record.

  3. In Link rates, set the individual rates then click Save.

Import link rates into the current period

You can import the hours into the period, instead of adding them manually. Where possible, Paycircle also automatically maps the file headers with existing link elements in the system.
