What's new?
Currently, you cannot link Identity accounts if you are an admin of multiple accounts. The work around currently is either being made a group admin or create separate identity accounts using a new email for each Paycircle admin account.
This new feature will allow for Paycircle Admins to link to multiple Paycircle user profiles, whether it be an additional admin account or the user's employee Pay Portal account.
This also comes as part of the Evo implementation, as the user will only need to sign into one identity account to be able to access any account they
need in the access group suite (including easily going between their paycircle admin accounts).
Enhancements to Access identity inside Paycircle:
1. When you log in as an admin in Paycircle, if you are in an identity enabled company or bureau, you can see in the dropdown user menu a new section titled "Switch account:"
This holds items that represent the linked accounts that you can switch between with relevant details: full name, the company/bureau they are an admin of and their role e.g. Company admin.
It’s Important to note, all these accounts from this section are admins (you cannot switch to an employee, even if it's linked to the same identity account.
This list holds maximum 4 items in order to keep the menu tight and if the original list of linked accounts to switch between is larger, then a new button "View all linked accounts" is shown, taking you to a new page to see all the linked accounts to switch from.
Clicking on one of the items from the list will refresh the page, signing you in with the chosen account.
2. Another new feature available in the user menu is an option "Manage linked accounts" that will take you to a new page. The Managed Linked Accounts are visible only if the company or bureau has identity enabled.
Here you can see all the linked accounts. Under the Payroll Portal we have the linked admins, and under the Pay Portal we have the linked team members/employees. Each of them have an option of 'Unlink'-ing and details like: username (paycircle username), email address and account type which only states if it's a company or bureau admin.
On the same page we have the "Add linked account" button which enables the linking.
3. The "Add linked account" button from the "Manage linked accounts" enables the linking. It opens a new flyout form, where you must type in the username of the account you want to link and depending on the scenario you are in, you are redirected to add your paycircle password or just see an error message.
Due to less data being available in Admin profiles to link an account it will need to be the same first name and last name.
There are a few scenarios where this linking will be successful or fail, below are some of these scenarios and expected behaviour:
When signed in with an identity account and trying to link another account which is NOT yet migrated to identity but IS identity enabled at the bureau/company level.
When signed in with an identity account and trying to link another account (admin or employee) which is already migrated to identity.
When signed in with an identity account and trying to link another account (admin or employee) which is not yet migrated to identity but has the identity disabled at the bureau/company level
When signed in with an identity account and trying to link another account which is not yet migrated to identity but has identity enabled at the bureau/company level. The admin I want to link however has another name and therefore could be a different user.
Enter the username for the admin you want to link, enter the password and move forward. As the name and surname of the two admins are not the same, then an error message appears stating "The account you entered is associated with a different user and cannot be linked. Please ensure you are linking accounts that belong to the same user."
5. The Paycircle Pay Portal already includes linking functionality, but with these latest enhancements, we have further improved the Pay Portal linking area. Previously, users could link all their employee accounts together. Now, it is also possible to link an Admin account from within the employee Pay Portal.
Please note that admin accounts cannot be viewed or managed within the employee Pay Portal. All administration and account management remain within the Payroll Portal under “Manage Linked Accounts.”
6. This update improves the Access Identity migration process. When migrating an additional Paycircle account to Access Identity, users who do not need to create a new Access account can now sign into their existing identity account already linked to an admin profile. This allows seamless account linking and easy switching via the “Switch Account” option in the user profile menu.
The validation criteria for linking accounts are as follows:
Admin to Admin and Admin to Employee: Accounts must have the same first name and last name, as admin profiles contain limited data.
Employee to Employee: Accounts must match on first name, last name, date of birth, National Insurance number, and gender to ensure security and protect sensitive employee data.
