Add a statutory maternity pay schedule
To add a statutory maternity pay (SMP) schedule in Paycircle, follow the steps below.
Click Team then click the relevant team member.
Click the cog ⚙️ then click Maternity pay.
In Due date, enter the expected date for the baby then click Calculate.
Enter the maternity leave start date and end date. We will show the 52nd week automatically, but this can be amended to another date if needed.
If the baby was premature, select The baby was born early check box, enter the birth date then click Recalculate.
Note: If the statutory maternity schedule start date begins before the current period, there's an option to add payments already made. You can add amounts as a total amount or as amounts paid per period. You also need to add any payments made to date in the current tax year to the team member’s year to dates.
If applicable, select the I've applied for advance funding for maternity payments check box then add the funding amount.
If the SMP schedule spans two tax years, you need to enter the funding amounts for each tax year separately.Select the relevant pro-ration method for the schedule.
Standard pro-ration: Prorates their pay for the whole period.
Period pro-ration: Deduct the number of days off on maternity from their pay for the period.
Manual pro-ration: You alter their pay manually.
Click Next then enter the gross pay amounts for the relevant periods.
Tip: If you processed the periods in Paycircle, the amounts populate automatically.Select whether to calculate the schedule on a period or weekly basis.
The period basis uses the company’s pay period settings, while using a weekly basis calculates the schedule in weeks, starting from the first day of the SMP period.Click Save & finish.
Note: Employees will not be placed back onto a salary at the 39th week of Maternity but rather the 52nd week, ensuring no overpayment made in the 40th to 52nd week of unpaid Maternity.
View the schedule
Click Team then click the relevant team member
Click the Schedules tab then click the SMP schedule.
⚠️ Important: If the schedule doesn't match the HMRC calculator - If you pay a team member early because of Christmas, when setting up a Maternity pay schedule, you need to use the pay dates the team member would've normally paid on.
