What's new?
The Payroll import tool has been significantly improved to support a broader range of element types. Previously, only a limited selection was available; the enhanced importer now enables clients to import multiple hours across a much wider set of pay elements.
Introduction of Units Import Type
A new import type, ‘Units’, has been introduced under the Horizontal Import option. This is an enhanced version of the previous ‘Hourly Units’ importer that was only available under the Vertical Import option.
Previously, the Vertical Import option supported only a limited number of element types. With this update, a more extensive list of element types is now available for use.
Now you will have the elements below at your disposal:
Import Options and Mapping
The Horizontal Import option continues to use the ‘Type’ and ‘Units’ fields to enable the ‘Match Change Type’ functionality, which allows users to accurately assign the appropriate pay elements.
Both Horizontal and Vertical import methods support saving custom mappings for future use, in line with existing system functionality.
The Auto Map feature remains available; however, for it to function correctly, the data in the ‘Type’ column must exactly match the pay element names stored in Paycircle.
After selecting a Type, a flyout menu will appear, allowing the user to choose the relevant rate for the selected type. The available options are listed below:
Additional Import Behaviour and Rules
Net pay employees are automatically excluded from imports and will not be affected.
For Team Members set to hourly rate only within Paycircle, any entries made under the two daily rate options will be ignored.
For team members on a pay policy, hourly rates can be imported based on contracted weeks and hours. However, daily rates may only calculate correctly in certain scenarios, and in some cases may not apply at all. Further improvements to enable more accurate daily rate imports for pay policy team members are planned for a future update.
For team members on a non-standard work pattern, accurate daily rate calculations are only supported when the full pattern (including working and non-working days) spans exactly 7 days — no more or less. The days worked within that 7-day period can vary. Enhancements to support other pattern lengths are also planned.
While we recognise that there are still some limitations, this new functionality has been released to support the vast majority of use cases. For scenarios not yet covered, the existing import process remains fully supported — we haven’t removed any capabilities, only added new ones.
Undo Functionality
Imports made using either the Horizontal or Vertical options can be undone from the Import area. This action will remove all imported units without negatively impacting the payroll.
How to access the update
This update will be applied on the 16/05/2025.
