Why this matters

What you need to do
Employees
No action is required. Your payslip will automatically show holiday as a separate line once this change is live.
If you expected holiday pay but can't see a holiday line on your payslip, contact your payroll administrator.

Two things need to be right for holiday to reach Paycircle, and they sit in different systems;
The holiday pay element in Paycircle.
The absence type in Rotaready.

⚠️Important! If the Holiday Pay element is missing, holiday is skipped for every absence in the import, not only the one you are looking at. The rest of the payroll still processes. Shifts, sickness and other pay come through as normal, and a warning appears against the event for each skipped absence.
Your company pack must contain a pay element named exactly 'Holiday Pay'. This is a fixed name rather than one that mirrors Rotaready, and it is case-sensitive — Holiday pay or HOLIDAY PAY won't be recognised.
⚠️Important! Renaming the Holiday Pay element in Paycircle has the same effect as removing it. The match is on the element text exactly, so a renamed entry stops holiday importing for the whole company, with only warnings to show for it.
The absence type in Rotaready
The integration only imports absences it classifies as holiday or sickness. Anything it doesn't classify as either is not imported at all.
⚠️Important! When that happens, nothing is recorded. No error, no warning, no entry on the Rotaready Updates page — the absence simply is not there. This is the hardest absence problem to diagnose, because there is nothing to find.
After correcting either of these
A skipped holiday is recorded as a warning against an event that otherwise completed successfully. Events that completed cannot be retried, so correcting the problem does not bring the missing holiday through on its own. The correction therefore takes effect at the next sign-off for that employee.
How holiday is valued
Holiday is valued using the employee's hourly rate effective on each date taken, rather than their rate at the time of the pay run. A rate change part-way through a period is therefore reflected day by day.
Salaried employees
Holiday for an employee on an annual salary doesn't produce a pay element, because there is no hourly rate to value it against. Their salary is unaffected by holiday taken.
📌Note: This does still generate a warning for each day — "No hourly rate found for user in Rotaready salaries to calculate holiday pay". That is expected for salaried employees and needs no action.
