What has changed
Before this update, PDF payslips displayed a maximum of 20 pay element lines. Any lines beyond 20 were not shown, and no totals row appeared if the limit was reached.
PDF payslips now paginate automatically. When an employee has more than 20 pay element lines:
Page 1 shows the first 20 lines.
Each subsequent page continues with the next set of lines.
Every page includes a full totals summary, showing gross pay, taxes, deductions, and net pay.
Every page includes the employee name, employee number, and pay period for reference.
Page numbers are displayed on each page (for example, Page 1 of 3).
A continuation indicator appears at the bottom of each page where pay element lines continue onto the next page.
Who this affects
This change affects any employee whose payslip includes more than 20 pay element lines in a given pay period. This is most common for:
Employees who work a high number of shifts in a month.
Employees with a combination of shift types, overtime, holiday pay, and other pay elements.
Any pay run using features such as shift importers or third-party scheduling integrations.
πNote: If an employee has 20 or fewer pay element lines, their payslip will continue to appear as a single page with no change in format.
Generating and downloading PDF payslips
There is no change to how you generate or download PDF payslips. The pagination happens automatically based on the number of pay elements.
Individual PDF payslip
Navigate to Payroll, then select the relevant Pay Run.
Open the employee record and download the PDF payslip as normal.
If the employee has more than 20 pay element lines, the downloaded PDF will contain multiple pages.
Team payslips (single PDF)
When generating a combined PDF for all employees in a pay run, each employee section within the PDF will paginate independently. An employee with 35 lines will occupy 2 pages within the document, while an employee with 10 lines will occupy 1 page.
Team payslips (ZIP of individual PDFs)
Each individual PDF within the .ZIP file will paginate correctly for that employee. There is no change to how you download or extract the ZIP file.
Supplementary runs
Pagination applies equally to supplementary run payslips, both changes-only and combined formats.
Reading a multi-page payslip
Multi-page payslips follow a consistent layout so employees and payroll teams can navigate them easily.
Each page begins with the employee header, including name, employee number, and pay period.
Pay element lines continue in sequence across pages.
Where pay element lines continue onto the next page, a continuation indicator is shown at the bottom.
Every page includes a full totals section showing gross pay, taxes, deductions, and net pay for the complete pay period.
To verify total hours or pay, refer to the totals section on any page. This always reflects the complete pay period, not just the lines shown on that page.
